Director of Facilities – Scope of Work

We’re seeking a hands-on, service-minded Director of Facilities to oversee all aspects of a historic estate’s physical infrastructure, maintenance, and capital projects. This leadership role blends traditional facilities management with a high level of guest service and attention to presentation. The Director leads a small, cross-functional team responsible for both technical operations and guest-facing support, such as portering and event logistics.

This position requires a strong technical background, leadership ability, and a calm, professional presence in both back-of-house and guest-facing settings.

Director of Facilities Responsibilities

  • Oversee the daily maintenance, operations, and preservation of all buildings, systems, and grounds across the estate.
  • Lead and mentor a dual-role team that handles both technical duties and guest services (e.g., portering, butlering, luggage handling).
  • Serve as on-site lead for all preventative maintenance programs (HVAC, plumbing, electrical, life safety, etc.).
  • Ensure the estate is guest-ready and running flawlessly during peak occupancy, VIP stays, and private events.
  • Collaborate daily with other departments (Housekeeping, F&B, Events, Guest Services) to coordinate priorities and resolve issues.
  • Support weddings and private events through infrastructure readiness, vendor coordination, and post-event recovery.
  • Develop and manage an annual facilities calendar aligned with seasonal, business, and event needs.
  • Manage capital improvement projects from planning to execution, maintaining historic preservation standards.
  • Maintain compliance with safety regulations (OSHA, ADA, fire codes, etc.).
  • Track vendor relationships, service contracts, and equipment care schedules.

Director of Facilities Skills & Qualifications

  • 5–7 years of experience in facilities management, ideally in a luxury hotel, historic estate, or private club setting.
  • Technical expertise in building systems, preventative maintenance, and compliance.
  • Proven leadership in managing a small team with diverse responsibilities.
  • Experience overseeing complex capital projects with multiple stakeholders.
  • Strong organizational skills, attention to detail, and ability to manage competing priorities.
  • A composed and professional demeanor with strong interpersonal skills for guest interaction and team leadership.
  • Comfortable stepping in directly on tasks as needed—hands-on and collaborative.
  • Familiarity with historic properties and preservation practices is strongly preferred.
