Administrative Assistant – Food Service Operation
Functional Responsibilities:
- Provide day-to-day administrative support to department leaders and staff.
- Manage office tasks including filing, document organization, and record-keeping.
- Coordinate travel, meeting schedules, conference calls, and prepare related agendas.
- Complete and track expense reports and reimbursements.
- Maintain and compile operational data; create and distribute regular reports.
- Support department programs by gathering and organizing required data.
- Prepare forms and communications to ensure timely submission of reports and documentation.
- Administer and maintain departmental documents, policies, and procedure manuals.
- Assist with contract tracking, compliance reporting, and proposal preparation.
- Collaborate with staff on company initiatives and special projects.
- Suggest improvements to processes and office procedures.
- Communicate clearly with internal teams and client representatives as needed.
Decision-Making & Autonomy:
- Work independently with general supervision.
- Use judgment to prioritize tasks and manage time effectively.
- Refer complex or high-impact issues to department leadership.
- No direct supervisory responsibilities.
Qualifications:
- High school diploma or equivalent (Associate’s degree preferred).
- Minimum 5 years of experience in administrative support, office coordination, or similar roles.
- Experience in a food service or contract services environment is a plus.
- Proficiency in Microsoft Office (Word, Excel, Outlook); knowledge of database or presentation tools is helpful.
- Strong written, verbal, and organizational skills.
- Basic understanding of budgeting and accounting concepts.
