Upscale Hamptons Beach Club and Resort is seeking a year-round, experienced, and detail-oriented Business Manager to oversee the financial and administrative operations of our family-oriented membership beach club. The ideal candidate will have a strong background in hospitality business management,
with expertise in payroll, bookkeeping, membership management, and regulatory compliance. This role
is critical to ensuring the smooth operation of the club, delivering exceptional member
experiences, and maintaining compliance with all local regulations. 125K-135K salary plus benefits and off-season hybrid work schedule. This role is in Westhampton Beach, NY
Key Responsibilities
● Financial Management & Bookkeeping:
○ Manage all financial transactions, including accounts payable, receivable, and
payroll, using QuickBooks.
○ Prepare and monitor annual budgets, financial reports, and forecasts.
○ Conduct regular reconciliations to ensure the accuracy of financial records.
○ Work with external accountants for tax preparation and audits.
● Membership & Dues Management:
○ Oversee membership applications, renewals, and terminations.
○ Manage billing and collection of membership dues and other fees.
○ Maintain accurate member records and ensure timely communication regarding
dues and club updates.
● Permitting & Regulatory Compliance:
○ Manage and renew all required permits, including:
■ Annual beach permits.
■ Swimming pool permits.
■ Restaurant permits.
■ Liquor license.
○ Ensure compliance with local, state, and federal regulations related to club
operations.
○ Maintain up-to-date records of all permits and licenses and coordinate
inspections as needed.
● General Business Operations:
○ Oversee day-to-day administrative functions
○ Negotiate contracts with vendors and service providers to optimize costs and
quality.
○ Implement policies and procedures to enhance operational efficiency and
member experience.
● Customer Service & Member Relations:
○ Act as a point of contact for member inquiries and resolve issues promptly and
professionally.
○ Support the planning and execution of member events and activities.
Qualifications
● Minimum of 5 years of experience in business management, preferably in the hospitality
or private club industry.
● Proficiency in QuickBooks financial management software.
● Strong understanding of regulatory requirements for beach, yacht or country clubs,
restaurants, and liquor licenses.
● Excellent organizational and multitasking skills with a keen attention to detail.
● Exceptional communication and interpersonal skills to interact with members, staff, and
vendors.
● Ability to work flexible hours, including weekends and holidays, as needed. Our summer
operating season is short and extremely busy.
● Knowledge of membership management systems and CRM software is a plus.
Working Conditions
● Full-time year-round position with occasional evening and weekend work during the
summer season.
● Office environment with frequent interaction on the club premises, including beach, pool,
and restaurant areas.
● Reports directly to the club President and Board of Directors.
