Job Summary

We are seeking a reliable, detail-oriented Company Secretary to support the daily administrative and clerical operations of our propane company. This role is critical to keeping the office running smoothly and supporting leadership, operations, and customer service teams. The ideal candidate is organized, professional, and comfortable working in a fast-paced, safety-focused environment.

Key Responsibilities

  • Serve as the primary administrative support for management and office staff
  • Answer and direct phone calls, emails, and general inquiries professionally
  • Maintain accurate records, files, contracts, permits, and compliance documents
  • Prepare correspondence, reports, invoices, and internal documentation
  • Schedule meetings, manage calendars, and coordinate appointments
  • Assist with billing, accounts payable/receivable, and basic bookkeeping tasks
  • Support regulatory and compliance documentation related to propane operations (training, safety records, permits, etc.)
  • Order office supplies and maintain office organization
  • Coordinate with drivers, technicians, and operations staff as needed
  • Handle confidential information with discretion and professionalism

Qualifications

  • High school diploma or equivalent required; associate degree preferred
  • 2+ years of administrative, secretarial, or office support experience
  • Experience in energy, propane, logistics, construction, or industrial environments a plus
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook); accounting software experience a plus
  • Ability to multitask, prioritize, and work independently
  • Professional demeanor and customer-service mindset

Work Environment

  • Office-based role in a propane/energy operations setting
  • Occasional interaction with field staff and customers
  • Standard business hours with occasional flexibility as needed
