We are seeking a highly organized and proactive Executive Assistant to support our growing team and ensure smooth day-to-day operations. This role is essential for managing administrative tasks, coordinating schedules and travel, and providing critical support to the firm’s partners and team members. The ideal candidate thrives in a fast-paced environment, is tech-savvy, and has excellent communication and problem-solving skills.

Executive Assistant Responsibilities:

  • Manage office operations, including supplies, inventory, mail handling, and process improvements to enhance efficiency.
  • Oversee calendars and schedules across multiple locations and time zones, and coordinate travel arrangements for executives and family members.
  • Communicate with staff, vendors, and service providers, draft and proofread correspondence, and prepare meeting agendas and notes.
  • Assist with financial tasks, such as bill payments, bookkeeping, and capital transactions, while ensuring timely filing of important documents.
  • Support HR functions, including onboarding new employees and managing healthcare policy-related tasks.

Executive Assistant Requirements:

  • Ability to travel within the U.S. for short periods as needed.
  • Minimum of 2-4 years experience.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Google Workspace (Calendar, Sheets, Docs) and quick adaptability to new technology.
  • Excellent verbal and written communication skills, with the ability to manage multiple priorities effectively.
  • Preferred experience in travel coordination, invoice management, and office operations.
