Requirements & Qualifications
- Bachelor’s degree or equivalent work experience in finance, bookkeeping, accounting, basic tax preparation, legal services, or a related field
- Strong interest in financial, legal, trust, and estate-related work
- Proficiency with Microsoft Excel
- QuickBooks or QuickBooks Online experience is highly desired
- Ability to organize a high volume of email and prioritize competing deadlines
- Strong reading comprehension and ability to summarize detailed information accurately
- Valid driver’s license and reliable personal vehicle
- Ability to handle confidential financial and legal information with discretion
- Strong documentation, organization, and follow-through
- Comfortable working in a time-tracking and billable-hour environment
Must Haves
- Maintain accurate client financial records and supporting documentation
- Assist with bill payment, expense tracking, account reconciliation, and financial reporting
- Organize financial and legal documents for accountants, attorneys, tax professionals, and beneficiaries
- Review estate-planning documents and learn to prepare detailed summaries of trusts, wills, powers of attorney, and related materials
- Identify important provisions, deadlines, parties, assets, and follow-up items within financial and legal documents
- Manage a high-volume email inbox and prioritize urgent financial, legal, and administrative matters
- Track outstanding documents, payments, deadlines, and action items across multiple accounts
- Coordinate with banks, insurance companies, accountants, attorneys, investment advisors, and other professional service providers
- Maintain detailed records of all work performed, including billable time
- Follow internal financial controls and confidentiality procedures
- Drive locally to ship documents, retrieve mail, and pick up materials from post offices or client residences
Preferred Background & Skills
- Bookkeeping, accounting, accounts payable, or financial administration experience
- Basic tax-preparation or personal-income-tax exposure
- Legal assistant, paralegal, probate, estate-planning, or trust-administration experience
- Experience reviewing contracts, estate plans, financial statements, or other detailed documents
- Ability to turn complex financial or legal information into organized written summaries
- QuickBooks Online proficiency
- Advanced Microsoft Excel skills
- Experience with Clio Manage or another legal case-management and billing platform
- Experience in an accounting firm, law firm, fiduciary practice, family office, financial-services firm, or other professional-services environment
- Interest in developing expertise in trust administration, estate settlement, and professional fiduciary services
