We’re looking for a detail-oriented and proactive Customer Project and AR Coordinator to join our team. In this role, you’ll serve as a critical link between our sales, finance, shipping, and customer project operations. You’ll lead our accounts receivable (AR) and collections processes while ensuring accurate and timely project billing. Customer Project and AR Coordinator Qualifications

  • Extensive experience with EPICOR (required)
  • Solid background in AR/AP with hands-on collections and billing experience
  • At least 1 year of experience in project coordination or billing
  • Strong attention to detail and ability to resolve financial discrepancies
  • Excellent communication and interpersonal skills to manage both internal teams and customer interactions.
  • Ability to balance multiple priorities, from high-level project billing to day-to-day administrative tasks.

Customer Project and AR Coordinator Responsibilities

  • Manage customer deposit billing, collections, and accurate project invoicing, including freight, crating, and expedited fees
  • Oversee AR processes, including customer calls, discrepancy resolution, and aligning project sheet balances with EPICOR records
  • Collaborate with sales, shipping, and finance teams to ensure invoice accuracy and proper billing for customers vs. buying groups
  • Attend production meetings to provide AR updates and project deposit invoice status
  • Maintain and update CRM systems to track customer interactions and project progress
  • Implement and manage Trainual software for training and policy development in coordination with the Director of Administration
  • Support administrative functions such as filing, scanning, greeting visitors, and monitoring visitor entry systems
  • Partner with the marketing team to ensure proper billing for customer-attended classes
