Residential Real Estate Closing Office

Location: Valdosta, GA (In-Office)

Job Type: Full-Time (Monday–Friday); 40 Hour work-week

Purpose of the Role

This person is the “glue” of this growing office — supporting day-to-day administrative and office operations while helping ensure that every Weissman closing continues to deliver an exceptional, concierge-level experience for buyers, sellers, and real estate agents.

Working closely with the attorney, this role helps the office maintain its operations as a calm, coordinated, and dependable operation, supports strong local relationships, and contributes to the firm's reputation as trusted in the Valdosta real estate community.—Position Summary

We are seeking a personable, organized, and motivated Office / Client Experience Coordinator to support our residential real estate closing office in Valdosta, Georgia. This position is ideal for someone who enjoys building relationships in the local community while also taking ownership of the client experience and day-to-day office coordination in a small, fast-paced closing environment.

This role is responsible for developing and maintaining connections with real estate agents, brokers, and lenders; supporting office operations and closing logistics; and ensuring a welcoming, professional, and well-run office experience for clients and visitors. Over time, the role will also grow to support pre-closing coordination, with training provided.—

Key Responsibilities

· Build and maintain strong professional relationships with local real estate agents, brokers, lenders, and industry partners

· Support outreach through phone calls, email, and office drop-ins to strengthen existing relationships

· Represent the firm at community and real estate events (broker opens, association meetings, networking events, etc.), independently or alongside the attorney

· Assist with social media content highlighting closings, team wins, and community involvement

· Serve as the first point of contact: greet clients and agents, answer phones, and help set the tone for a positive closing experience

· Maintain a clean, welcoming, and client-ready front office environment

· Partner with the attorney and paralegals to support office coordination and closing logistics

· Assist with preparing closing packets, organizing documents, and coordinating signatures as needed

· Support pre-closing preparation over time, including helping ensure files are organized and ready for closing, with training and guidance

· Provide support to ensure closings run smoothly and clients and agents have a consistently positive experience

· Ensures the office is properly stocked and operational by coordinating supplies and related needs.—Qualifications

· High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred)

· Experience in a client-facing, coordination-oriented, or leadership role

· Experience in residential real estate, title, brokerage, mortgage lending, closing operations, professional services, hospitality, or other complex, relationship-driven environments is preferred

· Relevant experience may include professional roles or significant leadership experience in community, school, nonprofit, or volunteer settings that require coordination, discretion, and consistent follow-through

· Strong interpersonal and communication skills with a professional, friendly demeanor

· Organized and dependable, with the ability to manage multiple priorities in a small office environment

· Willingness to learn and grow into pre-closing coordination responsibilities with training and support

· Proficiency in Microsoft Office (Outlook, Word, Excel) and comfort learning new systems

· Ability to handle confidential information with discretion and professionalism

The Ideal Candidate

· Is outgoing and confident in building relationships and initiating conversations

· Is organized and self-directed, able to manage priorities without constant supervision

· Takes pride in ownership of an office and the experience it delivers

· Is professional and polished, and comfortable representing the firm in a way consistent with its brand

· Can switch comfortably between relationship engagement, office coordination, and learning new responsibilities

· Understands the importance of follow-through, preparation, and consistency in a close-knit market

Work Environment & Expectations

· In-office role in Valdosta, GA

· Frequent interaction with clients, real estate agents, brokers, and lenders

· Some local travel for office visits, lunches, and networking events may be required

· Must be comfortable supporting a small office environment where pitching in, learning, and collaboration are expected
