Join a small, highly collaborative fiduciary services team helping elderly clients maintain dignity, stability, and quality of life through complex healthcare, financial, and estate transitions.
This position combines financial administration, client advocacy, and hands-on case coordination. The right candidate will be compassionate, highly organized, comfortable working with elderly clients, and able to remain calm when priorities or client needs change unexpectedly.

Requirements & Qualifications
- Direct professional experience working with elderly clients is required
- Bachelor’s degree or equivalent experience in financial administration, case management, elder services, or a related field
- Experience maintaining detailed financial, legal, healthcare, or client-service records
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Valid driver’s license, reliable personal vehicle, and ability to complete local client visits
- Ability to handle confidential financial, legal, and healthcare information with discretion
- Willingness to track work accurately within a billable-hour environment
- Employment history demonstrating stability and long-term commitment
Must Haves
- Maintain client financial records, support bill payment, and prepare reports for clients, trusts, estates, and beneficiaries
- Coordinate with accountants, attorneys, investment advisors, insurance companies, healthcare providers, caregivers, and residential facilities
- Complete client wellness visits and unannounced caregiver checks throughout the San Jose area
- Review care logs, monitor care plans, and follow up when services or medications are not being handled correctly
- Document every client interaction, decision, expense, and activity with exceptional accuracy
- Assist with insurance claims, benefit questions, coverage determinations, and sensitive financial matters
- Support estate clean-outs and the organization or distribution of personal property
- Respond calmly to urgent client situations while managing multiple changing priorities
- Communicate compassionately with clients experiencing dementia, cognitive decline, grief, or end-of-life transitions
Preferred Background & Skills
- Elder care, senior services, geriatric case management, social work, or care coordination experience
- Bookkeeping, accounting, personal income tax, trust administration, or estate-settlement exposure
- Experience using QuickBooks Online
- Familiarity with Clio Manage or another legal case-management and billing platform
- Experience working in a regulated legal, healthcare, financial, or fiduciary environment
- Strong project coordination and high-touch private-client service experience
- Interest in pursuing California professional fiduciary education or licensing
