DUTIES AND RESPONSIBILITIES:
- Serve as the primary point of contact for incoming calls, including all intake calls
- Communicate with potential clients (Spanish-speaking required)
- Sort and route new and existing client calls appropriately
- Provide receptionist coverage and backup support as needed
- Act as receptionist for a separate office location (AI office)
- Welcome guests and clients, and assist with setting up conference rooms for meetings
- Maintain a professional, organized, dependable, and service-oriented presence at all times
- Perform general receptionist, administrative, and office assistant duties
- Support intake assistant responsibilities as assigned
- Order office supplies and maintain inventory
- Coordinate with and communicate effectively with firm vendors
REQUIREMENTS:
- Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail
- Strong organizational and time-management skills with the ability to prioritize multiple tasks
- Ability to work independently and collaboratively in a fast-paced environment
- Ability to track, manage, and complete multiple assignments accurately and on time
- Demonstrate professionalism by following all firm policies, including attendance, dress code, confidentiality, and security procedures
- Proficiency with Microsoft 365 (Word, Outlook, Excel) and comfort using modern office technology
- Flexibility to work overtime and occasional weekends as needed
QUALIFICATIONS:
- Bilingual (Spanish-speaking strongly preferred)
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 3+ years of experience in a civil law firm preferred
- Plaintiff personal injury experience is a plus
- Prior receptionist experience in a high-volume call environment preferred
- Administrative support experience preferred
- Experience with Microsoft 365 required
- Filevine experience preferred
