Job Title: Receptionist / Client Services Coordinator – Savannah Office
Position Summary
The Receptionist / Client Services Coordinator is the first point of contact for clients, agents, and visitors. This role is essential to creating a professional, welcoming experience while also providing administrative support to the real estate team. In addition to answering phones and greeting guests, the receptionist assists with pre-closing and post-closing tasks to ensure smooth and timely real estate transactions.
Key Responsibilities
Front Desk & Client Experience
- Answer and direct incoming calls in a professional, courteous, and efficient manner
- Greet clients, real estate agents, buyers, sellers, and visitors and notify appropriate staff of arrivals
- Maintain a welcoming, organized, and professional reception area
- Manage incoming and outgoing mail, deliveries, and courier packages
Pre-Closing Support
- Assist with as needed
- intake of new files and basic data entry into the firm’s closing software
- request and track required documentation from buyers, sellers, agents, and lenders
- schedule closings
- send routine pre-closing communications and confirmations
- prepare and organize files in advance of closing
Post-Closing Support
- Assist with as needed
- post-closing file organization and checklist completion
- send follow-up communications to buyers, sellers, agents, and lenders as directed
- help ensure post-closing documents are properly distributed and filed
- support recording and tracking of documents
Administrative & Office Support
- Assist attorneys and paralegals with general administrative tasks
- Maintain accurate records and ensure confidentiality of client information
- Support office operations as needed, including light clerical tasks and coordination with other offices/departments
Qualifications & Skills
- High school diploma or equivalent required; associate’s degree or higher preferred
- Prior experience in a law firm, real estate office, or professional services environment strongly preferred
- Excellent phone etiquette and customer service skills
- Strong organizational skills with attention to detail
- Ability to manage multiple tasks in a fast-paced environment
- Proficiency with Microsoft Office and willingness to learn closing software
- Professional demeanor with strong written and verbal communication skills

Work Environment
This position is office-based in a fast-paced residential real estate law firm. Regular interaction with buyers, sellers, real estate agents, lenders, and staff is required.
