We are looking for a detail-driven, highly organized professional to support sourcing and program design efforts for meetings and events. This role plays a key part in identifying the right destinations and hotel partners, supporting internal strategy, and helping deliver strong client outcomes across multiple programs.

Sourcing & Design Specialist Responsibilities

  • Support multiple sourcing initiatives simultaneously, ensuring alignment with client goals and internal strategy
  • Conduct destination and property research, narrowing options based on program needs, budget, and feasibility
  • Build and distribute sourcing requests using event technology platforms, managing timelines and supplier responses
  • Monitor and organize incoming proposals, tracking key details such as availability, pricing, and program fit
  • Summarize findings into clear, client-ready recommendations for internal review
  • Assist in reviewing agreements and identifying potential risks or gaps prior to finalization
  • Coordinate with internal teams to support project flow, timelines, and overall sourcing direction

  • Clear and professional communication style, both written and verbal
  • High level of accuracy and attention to detail, especially when handling data and contracts
  • Comfort working with systems, spreadsheets, and event-related platforms
  • Self-starter mentality with a proactive approach to problem-solving and follow-through

Sourcing & Design Specialist Qualifications

  • 1–3 years of experience in events, hospitality, travel, or a related field
  • Exposure to hotel sourcing, vendor coordination, or program planning strongly preferred
  • Experience working with event platforms or registration tools (such as Cvent) is a plus
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint
  • Knowledge of destinations, hotels, and general event logistics preferred
  • Bachelor’s degree or equivalent experience required
  • Familiarity with regulated meeting environments (pharma/healthcare) is a plus
