We are seeking an experienced IP Paralegal / Legal Assistant to support a legal team focused on intellectual property matters, with a strong emphasis on patent prosecution. This role is responsible for managing IP portfolios, coordinating filings, and ensuring compliance with all deadlines and procedural requirements. The ideal candidate brings prior patent prosecution experience and the ability to operate independently in a deadline-driven environment.

Key Responsibilities

  • Manage intellectual property dockets, including U.S. and foreign patent and trademark matters
  • Monitor and track all filing deadlines to ensure timely submissions
  • Prepare and electronically file patent and trademark documents via USPTO systems
  • Support patent prosecution activities, including Office Action responses, Notices of Allowance, IDS filings, and assignments
  • Maintain accurate case files and IP database records
  • Prepare routine correspondence and status reports for attorneys and clients
  • Coordinate with clients, foreign associates, and internal stakeholders regarding matter updates
  • Provide general administrative support related to IP matters

Qualifications

  • 3 to 5+ years of experience in intellectual property law, with direct patent prosecution experience required
  • Demonstrated experience managing patent dockets and USPTO filings
  • Proficiency with IP management software
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and meet strict deadlines
  • Excellent written and verbal communication skills
  • Paralegal certificate, associate degree, or bachelor’s degree preferred
