We are currently seeking a motivated Legal Assistant to join our team. As a Legal Assistant, you will be responsible for managing various tasks, with a principal focus on scheduling hearings across multiple practice areas, calendaring deadlines and managing the download, filing, and distribution of various court filings. We are looking for an organized and versatile individual who is passionate about law and is willing to assist our attorneys in delivering high-quality legal services. Real estate, commercial landlord-tenant, and business litigation experience is preferred.
Key Responsibilities

Calendaring: Manage a high volume of scheduling tasks, including deadlines, court appearances, and appointments. Proactively arrange and maintain attorney appointments, meetings, and court dates to ensure an optimized and efficient daily workflow. Given the fast-paced nature of this role, exceptional organizational skills and attention to detail are essential to keep everything on track. A comprehensive understanding of how to calculate due dates for state and federal cases is a must, as it is a key aspect of the role that requires meticulous attention.
Deadline Tracking: Meticulously monitors legal deadlines, court-mandated timelines, and critical submission dates to ensure no important dates are missed. A thorough understanding of standard orders that include deadlines and corresponding calendaring responsibilities is essential, as this knowledge is vital for the smooth operation of legal processes.
Court Filings: Prepare and file legal documents with the appropriate courts and ensure all filings are accurate and timely. Regularly review all court portals, including ePortal and JAWS, to download pleadings, locate and calendar deadlines related to the pleadings, and file in NetDocuments, the firm’s document management system.
Document Preparation: Draft basic legal documents and correspondence with a strong focus on attention to detail and accuracy.
Team Administrative Assistance: Work collaboratively with the team to provide any administrative assistance needed to support our attorneys, paralegals, and clients.
Phone Coverage: Answer and manage incoming calls to ensure a positive and professional interaction with callers.
Qualifications
- Minimum of 3-5 years of experience as a legal assistant.
- Comprehensive understanding of court deadlines and corresponding calendaring requirements.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Ability to work independently and as part of a team.
- Knowledge of relevant legal procedures and court rules.
- Attention to detail and accuracy.
