Executive Assistant & Special Projects Coordinator Responsibilities
- Manage complex calendars, travel arrangements, and meeting logistics for executives
- Prepare agendas, capture detailed meeting notes, and track follow-ups
- Draft, proofread, and manage executive communications
- Handle sensitive information with discretion and professionalism
- Coordinate and manage cross-functional projects from planning to execution
- Conduct research and prepare materials for strategic initiatives and presentations
- Develop and maintain project plans, timelines, and deliverables
- Collaborate with internal teams to ensure deadlines and milestones are met
- Identify workflow inefficiencies and implement process improvements
- Support vendor management, purchasing, and basic budget tracking
- Assist with onboarding, internal communications, and team operations
Executive Assistant & Special Projects Coordinator Requirements
- 2+ years of experience in executive support, operations, or project coordination
- Exceptional organizational skills and strong attention to detail
- Excellent written and verbal communication abilities
- Proven ability to manage multiple priorities and meet deadlines
- Proficiency with tools such as Google Workspace, Microsoft Office, Slack, Monday, or Notion
- Ability to adapt in a fast-paced, evolving environment
- High level of professionalism, discretion, and sound judgment
- Bonus: Experience in startups or high-growth environments
- Bonus: Familiarity with data analysis, reporting, or basic financial tracking
