Executive Assistant & Special Projects Coordinator Responsibilities

  • Manage complex calendars, travel arrangements, and meeting logistics for executives
  • Prepare agendas, capture detailed meeting notes, and track follow-ups
  • Draft, proofread, and manage executive communications
  • Handle sensitive information with discretion and professionalism
  • Coordinate and manage cross-functional projects from planning to execution
  • Conduct research and prepare materials for strategic initiatives and presentations
  • Develop and maintain project plans, timelines, and deliverables
  • Collaborate with internal teams to ensure deadlines and milestones are met
  • Identify workflow inefficiencies and implement process improvements
  • Support vendor management, purchasing, and basic budget tracking
  • Assist with onboarding, internal communications, and team operations

Executive Assistant & Special Projects Coordinator Requirements

  • 2+ years of experience in executive support, operations, or project coordination
  • Exceptional organizational skills and strong attention to detail
  • Excellent written and verbal communication abilities
  • Proven ability to manage multiple priorities and meet deadlines
  • Proficiency with tools such as Google Workspace, Microsoft Office, Slack, Monday, or Notion
  • Ability to adapt in a fast-paced, evolving environment
  • High level of professionalism, discretion, and sound judgment
  • Bonus: Experience in startups or high-growth environments
  • Bonus: Familiarity with data analysis, reporting, or basic financial tracking
