Conference & Event Planning Opportunity

We are seeking an experienced Conference Planner to join a premier executive hotel and conference center in St. Louis.

This position is ideal for a hospitality professional with experience in full-service hotels, conference centers, or corporate meeting environments who enjoys managing the details that turn a meeting or conference into a seamless guest experience.

The Conference Planner will serve as a primary point of contact for clients, coordinating events from the planning stage through on-site execution while partnering closely with Food & Beverage, Culinary, AV, Front Office, Housekeeping, and hotel operations.

This is a hands-on planning role for someone who understands both the client-facing and operational sides of conference services.

What You'll Do

  • Manage conferences, meetings, and corporate events from initial planning through execution
  • Serve as a primary point of contact for meeting planners and clients
  • Coordinate event details, timelines, meeting-room requirements, guest needs, and service expectations
  • Prepare and manage BEOs and other event documentation
  • Communicate event requirements across Culinary, Banquets, AV, Front Office, Housekeeping, and Operations
  • Coordinate food and beverage requirements with culinary and service teams
  • Manage meeting-room setups, audiovisual needs, guest-room considerations, and conference logistics
  • Conduct pre-conference meetings and ensure all departments understand client expectations
  • Maintain regular communication with clients before, during, and after events
  • Monitor events on-site and resolve issues quickly and professionally
  • Manage multiple events and priorities simultaneously
  • Review changes and communicate updates to all affected departments
  • Provide high-touch service to executive, corporate, and conference guests
  • Support post-event follow-up and identify opportunities to continuously improve the guest experience

What We're Looking For

  • Previous experience in conference services, hotel events, catering, meetings, or hospitality event planning
  • Full-service hotel or conference-center experience strongly preferred
  • Experience managing corporate meetings, conferences, or group events
  • Working knowledge of BEOs and hotel event operations
  • Strong client-facing and relationship-management skills
  • Ability to coordinate multiple hotel departments
  • Experience working with Food & Beverage, AV, guest rooms, meeting spaces, and event operations
  • Strong organizational and project-management skills
  • Excellent written and verbal communication
  • Ability to manage multiple events and shifting priorities
  • Professional presence and strong attention to detail
  • Comfortable working in a hospitality environment where schedules may vary based on conference and event needs

Ideal Background

Strong candidates may currently hold titles such as:

  • Conference Services Manager
  • Conference Planner
  • Event Services Manager
  • Hotel Event Manager
  • Catering & Conference Services Manager
  • Convention Services Manager
  • Meeting Planner
  • Catering Manager with strong conference-planning experience

We are especially interested in candidates who understand that success requires more than planning the event on paper — you need to understand how the hotel operation actually delivers it.

Why This Opportunity?

This position offers the opportunity to work in an executive-level hotel and conference environment with sophisticated corporate and university clientele. You will have the opportunity to manage complex events, build long-term client relationships, and work closely with an experienced hospitality team.

Benefits

  • Medical, dental, and vision insurance
  • 401(k) with company match
  • Paid time off
  • Paid holidays
  • Career growth and advancement opportunities
  • Employee wellness and hospitality benefits
