Landscape Office Manager

We're looking for an Office Manager who will become the heartbeat of our branch—supporting operations, accounting, customer service, and leadership while ensuring every day runs efficiently.

What You'll Do

As our Office Manager, you'll serve as the central point of coordination for the office, supporting employees, customers, vendors, and management.

Your responsibilities will include:

Office & Administrative Leadership

  • Manage daily office operations and administrative processes
  • Answer phones, respond to customer inquiries, and welcome visitors
  • Maintain organized digital and paper filing systems
  • Order office supplies and oversee office equipment
  • Assist with branch meetings and documentation

Customer Service Excellence

  • Serve as the primary contact for customer inquiries
  • Process new customer accounts and maintain accurate records
  • Resolve customer concerns with professionalism
  • Assist with contracts, renewals, and documentation

Accounting & Financial Support

  • Process Accounts Payable and Accounts Receivable
  • Prepare daily deposits and reconcile receipts
  • Track purchase orders and vendor invoices
  • Support payroll processing and employee expense reporting
  • Assist with collections and payment processing

Operations Support

  • Maintain project files and work order documentation
  • Verify job completion and update operational records
  • Track equipment documentation and maintenance records
  • Coordinate seasonal hiring paperwork and onboarding

Snow Operations Support (Seasonal)

  • Track labor, equipment usage, and materials during snow events
  • Compile billing information after snow operations
  • Support administrative functions during major weather events

Human Resources Support

  • Coordinate onboarding paperwork and orientation scheduling
  • Maintain personnel files
  • Schedule interviews and assist with recruiting
  • Track employee certifications, licenses, and training

Qualifications

  • Associate's degree in Business Administration, Accounting, or related field preferred (or equivalent experience)
  • 3+ years of administrative or office management experience
  • Experience in landscaping, construction, snow management, or service industries is a plus
  • Experience with Microsoft Excel, Word, Outlook, and Teams
  • Experience with accounting software required
  • CRM, ERP, or landscape management software experience is a plus
  • Interest in AI tools and technology is a plus
