Our client is seeking a hands-on Accounting Manager to lead its accounting function. This role owns cash management and controls the company's operating and escrow accounts, the month-end close and financial reporting, payroll accounting, and underwriter, tax, and regulatory compliance. The Accounting Manager supervises the Accounting Assistant, serves as the escalation point for the Title operations team, and works directly with the President and ownership on financial analysis and planning.
Key Responsibilities
• Cash Management & Escrow Controls: Oversee daily activity across operating, escrow, premium, recording, and payroll accounts. Make the final call on Positive Pay and banking exceptions, and review and release wires, disbursements, refunds, and check requests under dual control.
• Month-End Close & Reconciliations: Lead the monthly close, including journal entries, accruals, and reclasses. Complete and review bank (three-way) reconciliations, and resolve file-level discrepancies.
• Financial Reporting & Analysis: Prepare monthly financial statements and a trend package with variance analysis. Report premium revenue, order and closing volume, and payroll-to-premium ratio to ownership, and support budgeting, forecasting, and ad hoc modeling.
• Payroll & Contractor Payments: Manage closer (1099) pay runs, payroll funding, PEO invoice reconciliation, payroll journal entries, and year-end W-2/1099 reconciliation in coordination with HR.
• Accounts Payable & Vendor Controls: Approve vendor payments and credit card coding, and independently verify any change to payment instructions. Maintain the vendor master file, banking relationships, and user access for bank accounts and company credit cards.
• Underwriter & Regulatory Compliance: Prepare the monthly underwriter premium remittance and the annual Data Call, and serve as the main contact for the underwriter audit. File monthly NYS sales tax and oversee the annual unclaimed funds (escheatment) process.
• Tax, Insurance & Corporate Administration: Prepare fiscal-year financials and support the outside CPA with corporate tax filings. Manage E&O, cyber, and other business insurance renewals, licenses, and industry memberships.
• Team Leadership & Internal Controls: Supervise, train, and evaluate the Accounting Assistant. Maintain SOPs and segregation of duties consistent with ALTA Best Practices, and lead process improvements with Title operations, HR, and leadership.
Qualifications
Required
• Bachelor's degree in Accounting, Finance, or a related field preferred.
• 4+ years of progressive accounting experience, including at least 2 years supervising staff preferred.
• Hands-on experience with full-cycle month-end close, financial statement preparation, and GAAP.
• Experience reconciling multiple bank accounts and handling payroll accounting.
• Intermediate Microsoft Excel skills; ability to quickly learn new software and online banking platforms.
• Strong internal controls mindset, including wire fraud prevention and dual-control procedures.
Preferred
• Title insurance, escrow, or real estate settlement experience, including three-way reconciliation, underwriter remittance, and ALTA Best Practices.
• Experience with title production software (e.g., TrackerPro, SoftPro, Qualia) and a PEO payroll platform (e.g., Justworks).
Core Competencies
• Integrity & Judgment: Safeguards client and company funds and makes sound decisions on exceptions and payments.
• Leadership: Trains and supports staff and builds clear, repeatable processes.
• Analytical Thinking: Turns financial data into clear insights and recommendations for leadership.
• Deadline Management: Consistently meets monthly, quarterly, and annual filing and reporting deadlines.
