Boutique Luxury Jewelry Company | Midtown Manhattan, NYC
Salary: $52,000–$65,000 + Performance-Based Bonus
About the Opportunity
A well-established boutique luxury jewelry company in Midtown Manhattan is looking for an experienced Bookkeeper to manage its day-to-day bookkeeping and help strengthen its accounting processes.
This is an opportunity for someone who enjoys bringing structure to financial operations, keeping records accurate and organized, and developing reliable systems. Working closely with ownership and the outside accountant, the Bookkeeper will oversee reconciliations, support monthly financial reporting and tax compliance, and help ensure the company's accounting processes run smoothly and efficiently.
The ideal candidate is detail-oriented, organized, and proactive, with the judgment and discretion to handle sensitive financial information and the initiative to identify opportunities for improvement.
Key Responsibilities
Bookkeeping & Account Reconciliation
- Maintain accurate, up-to-date financial records and organize the books in QuickBooks.
- Review and refine the chart of accounts, items, and classes to ensure transactions are recorded consistently.
- Reconcile bank accounts, credit cards, merchant accounts, and point-of-sale deposits.
- Manage accounts payable, accounts receivable, invoicing, vendor payments for ownership approval, and customer deposits.
Inventory & Operational Accounting
- Maintain inventory and cost records for diamonds, gemstones, and finished jewelry, including consignment and memo stock.
- Track customer deposits and special orders through delivery.
- Support periodic physical inventory counts and reconcile records to the general ledger.
- Prepare payroll and calculate performance-based incentive pay for ownership's review and approval.
Month-End Close & Financial Reporting
- Establish and maintain a consistent month-end close process, targeting completion within 10 business days of month-end.
- Prepare monthly financial reporting, including profit and loss statements, balance sheets, cash summaries, aged receivables and payables, and inventory reports.
- Identify and explain significant variances and provide timely, accurate information to ownership and the outside accountant.
Tax Preparation & Compliance Support
- Maintain a compliance calendar and prepare information for sales tax returns, payroll tax filings and deposits, year-end W-2 and 1099 reporting, and business tax filings in coordination with the outside accountant.
- Maintain accurate sales tax records, including applicable taxability, jurisdiction, and resale or exemption documentation.
- Organize vendor tax forms, licenses, insurance certificates, and filing deadlines.
- Support applicable jewelry-industry recordkeeping and reporting requirements in coordination with ownership, the accountant, and legal counsel.
Systems, Procedures & Internal Controls
- Document recurring bookkeeping and accounting processes through checklists and written procedures.
- Help strengthen internal controls, recordkeeping, access protocols, and records retention.
- Identify discrepancies, flag unusual activity promptly, and recommend practical process improvements.
- Maintain strict confidentiality when handling sensitive financial and client information.
The Right Person
- Has 5+ years of bookkeeping or accounting experience, including responsibility for bank reconciliations and month-end close.
- Demonstrates advanced proficiency in QuickBooks, ideally with experience organizing or improving an existing set of books.
- Has hands-on experience with payroll and New York sales tax, including preparing information for an outside accountant.
- Understands inventory-based businesses and the accounting considerations associated with inventory, deposits, and vendor transactions.
- Is highly organized, detail-oriented, and comfortable managing multiple deadlines and recurring responsibilities.
- Can document procedures clearly and establish reliable, repeatable workflows.
- Demonstrates integrity, sound judgment, and discretion when working with confidential financial and client information.
- Is comfortable using digital tools, including AI-assisted workflows, to improve efficiency.
- Has an associate degree in accounting or finance, or equivalent experience. A bookkeeping certification, such as AIPB Certified Bookkeeper or QuickBooks ProAdvisor, is preferred.
Experience in jewelry, diamonds, luxury retail, or another inventory-based business is a plus, but not required.
Compensation & Benefits
- Base Salary: $52,000–$65,000, depending on experience
- Bonus: Performance-based bonus opportunity
- Paid Time Off: 15 days annually, plus New York State and New York City-mandated paid safe and sick leave
