We are seeking a highly organized and detail-oriented Settlement Administrator to join our Settlement Department. This individual will play a critical role in managing settlement processes, including preparing disbursement statements, auditing client expenses, coordinating communications between clients, counsel, and facilities, and ensuring accurate and timely financial documentation.
The ideal candidate will have a solid background in personal injury law, excellent communication skills, and the ability to thrive in a fast-paced, deadline-driven environment.
Key Duties & Responsibilities
Settlement Coordination & Disbursements
- Prepare and review settlement disbursement statements with a high degree of accuracy.
- Audit case expenses to ensure accurate accounting and compliance with settlement agreements.
- Verify and balance financial figures for mediations and settlement conferences.
- Collaborate with attorneys, paralegals, and clients to ensure proper documentation for disbursements.
Client & Counsel Communications
- Serve as a primary point of contact for clients regarding settlement timelines, required documents, and outstanding balances.
- Maintain consistent communication with counsel to obtain signatures, send release documents, and schedule courier pickups or deliveries.
- Draft and manage client correspondence to confirm addresses and provide settlement updates.
Financial Management & Reporting
- Organize and maintain client billing charts, ensuring all supporting documentation is accurate and up to date.
- Request and reconcile updated statements from medical facilities and providers.
- Report verified balances to the Settlement team to update case expenses in real time.
- Process facility payments, ensuring proper tracking and confirmation.
Administrative & Project Support
- Maintain organized client billing files and settlement documentation for accurate recordkeeping.
- Assist with special projects, reporting, and process improvements within the Settlement Department.
- Provide administrative support to attorneys and team members as needed.
Required Skills & Abilities
- Exceptional verbal and written communication skills.
- Strong organizational skills with meticulous attention to detail.
- Ability to multi-task and manage shifting priorities under tight deadlines.
- Strong analytical and problem-solving abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with QuickBooks or similar financial management tools is preferred.
- Knowledge of settlement procedures and personal injury case workflows.
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 3–5 years of experience working in a plaintiff personal injury firm with a strong background in settlements.
- Familiarity with medical billing, lien resolution, and trust account management is a plus.
Physical Requirements
- Must be able to lift up to 15 pounds occasionally.
- Prolonged periods of sitting and working at a computer.
