Law Firm Administrator / Office Manager
This role is ideal for an experienced administrative professional who enjoys ownership, structure, and accountability. You will serve as the central administrative authority for the firm—overseeing people, processes, vendors, and day-to-day operations—while supporting leadership and enabling attorneys to focus on client work.

Key Responsibilities:
Administrative & Office Management
- Oversee all day-to-day administrative operations of the firm
- Establish, document, and enforce office procedures, workflows, and best practices
- Manage office calendars, scheduling, internal communications, and administrative priorities
- Serve as the primary point of contact for administrative issues and escalations
- Ensure the office operates smoothly, efficiently, and professionally at all times
People Administration & Onboarding
- Lead employee onboarding processes, including documentation, system access, training coordination, and orientation support
- Maintain employee records, administrative files, and personnel documentation
- Support basic HR administration including timekeeping, attendance tracking, and policy adherence
- Assist leadership with administrative aspects of performance management and staffing needs
Vendor & Facilities Management
- Manage all vendor relationships including office services, IT providers, facilities, and professional vendors
- Negotiate and manage vendor contracts, renewals, and service agreements
- Oversee office supplies, equipment, technology coordination, and facility needs
- Monitor vendor performance, costs, and service levels
Financial & Billing Administration
- Support billing administration, invoicing coordination, and collections follow-up
- Track administrative expenses and assist with basic financial reporting
- Coordinate with external accountants or bookkeepers as needed
- Maintain organized financial and administrative records
Compliance & Process Improvement
- Ensure adherence to firm policies, confidentiality standards, and administrative compliance requirements
- Maintain organized filing systems and records management practices
- Identify inefficiencies and implement process improvements across administrative functions
- Support audits, reviews, and special administrative projects
Leadership Support
- Provide high-level administrative support to firm leadership and attorneys
- Supervise administrative or support staff, including task delegation and training
- Anticipate operational needs and proactively address issues before they escalate
Ideal Candidate Profile
- Prior experience in a law firm or legal administrative environment required
- Demonstrated experience managing office operations and administrative functions
- Strong organizational, prioritization, and problem-solving skills
- Experience with onboarding, vendor management, and people administration
- Comfortable owning processes and working independently
- Strong written and verbal communication skills
- Proficiency with Microsoft Office and legal or case management systems
- Professional demeanor with the ability to handle sensitive and confidential matters
