Job Description: Executive Assistant to the CEO
- Position: Executive Assistant to the President
- Department: Executive Office
- Reports to: President/CEO
- Location: New York
Executive Assistant Responsibilities:
- Provide comprehensive administrative support to the CEO, managing daily activities and ensuring smooth operations of the Executive Office.
- Act as the primary point of contact for the CEO exercising a high level of professionalism and discretion.
- Manage the CEO's schedule, including organizing meetings, appointments, and travel arrangements. Prioritize and anticipate scheduling conflicts and propose solutions.
- Prepare and coordinate materials for meetings, conferences, and presentations, ensuring accuracy and attention to detail.
- Handle correspondence, emails, and calls on behalf of the CEO, responding when appropriate or redirecting to relevant parties.
- Conduct research and compile reports, briefs, and summaries as requested by the CEO, supporting data-driven decision-making.
- Draft, review, and proofread various documents, including memos, letters, and proposals, maintaining consistency in style and tone.
- Assist in preparing the CEO for meetings, providing background information, talking points, and relevant documentation.
- Maintain confidentiality and handle sensitive information with the utmost discretion and integrity.
- Collaborate with other members of the executive team, acting as a liaison and facilitating effective communication.
- Manage special projects assigned by the CEO, overseeing timelines, resources, and deliverables to successful completion.
- Coordinate and organize corporate events, executive retreats, and board meetings, ensuring seamless execution and attention to detail.
- Monitor and track progress on key initiatives and follow up on action items, keeping the CEO informed of developments.
- Oversee and manage the Executive Office's budget, expenses, and financial reporting.
- Implement and maintain effective filing and organizational systems to facilitate efficient access to information.
- Provide support to other executives and members of the management team as needed.
Executive Assistant Requirements:
- Bachelor's degree in Business Administration or Masters degree, Management, or a related field.
- Proven experience as an Executive Assistant or in a similar senior administrative role, preferably supporting C-level executives.
- Exceptional organizational skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication skills, both written and verbal, with the capacity to interact with individuals at all levels.
- Strong problem-solving skills, resourcefulness, and the ability to make sound judgments independently.
- Proficient in using productivity tools, such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook), and familiarity with modern office technology.
- Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
- Detail-oriented with a keen eye for accuracy and consistency.
- Flexibility and adaptability to handle shifting priorities and unexpected changes.
- A positive and proactive attitude, displaying a high level of professionalism and integrity.
- Knowledge of the company's industry and business operations is a plus.
