Job Summary

The Director of Events is responsible for the most profitable segment of our business. Our total catering revenue is approximately one million dollars annually. While maintaining fiscal responsibility the Director of Events must have a passion for executing flawless events. Events begin with the first inquiry and end with the invoice accompanied by a thank you note. Catering in our club is business within a business; therefore, the Catering Manager must possess excellent employee and management interpersonal skills. Promotes the club’s dining and ballroom facilities for private banquets, business and social meetings and other member-related activities. Develop contracts for and oversees all administrative and operational aspects of preparing and serving events. Work with banquet and other departments to assure that the guests’ expectations are exceeded. Help members plan special catered functions that ideally meet their special needs. Ensures that financial goals (revenues and costs) are attained for each event.

Director of Events Responsibilities:

  • Handle all event inquiries while assisting the Clubhouse Manager in the operation of all club events
  • Generate contracts for all catering and special events
  • Track and receive all deposits and prepare function sheets for all events in a timely fashion.
  • Prepare weekly/monthly/annual revenue forecast
  • Develops, implements and monitors annual sales (marketing) and budget for the catering department; takes corrective actions as necessary to help assure that financial goals are met
  • Interview and hire new service personnel with Dining Room Manager
  • Menu development with Chef and GM
  • Conduct department head catering meetings
  • Promotes, advertises and markets the club’s social event facilities and capabilities to all members Implement aggressive, ongoing sales campaign to alert members to the club’s banquet operations and capabilities
  • Continually explores and contacts potential new sales sources as permitted by club’s by-laws
  • Helps members plan special events including menus, entertainment, theme, decorations and other aspects Represents member’s needs and interests on banquet function committees • Maintains current and accurate member files for all events
  • Helps member clients arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning.
  • Suggests and helps guests plan menus in conjunction with the Executive Chef and/or other culinary personnel Transmits necessary information to and coordinates event planning with production, serving and housekeeping staffs
  • Coordinates and assists with the setup and delivery of assigned banquet events • Inspects finished arrangements; may be present to oversee the actual greeting and serving of guests
  • Handles client complaints
  • Maintains past and potential client files; schedules calls/visits to assess on-going needs of prospective clients for catering services
  • Helps develop catering budgets; reviews financial reports and takes corrective actions as appropriate to help assure that budget goal are met
  • Helps guests with parking, entertainment, decorations, audio/visual, and any other requirements integral to events being planned
  • Represents members’ needs and interests on applicable club committees
  • Obtains necessary permits for special events/functions
  • Arrange prompt payment for all events
  • Critiques functions to determine future needs and to implement necessary changes for increased quality
  • Attends management meetings to review policies and procedures, upcoming business and to continually develop quality and image of banquet and catering functions

Director of Events Qualifications:

Education: Bachelor's Degree

  • 3 Years of Event Planning Management Experience
  • Must be able to communicate & interact professionally with members & employees in the English language.
  • The ability to communicate in Spanish is a plus.
  • Must be organized, self-motivated
  • Ability to multitask and prioritize in a demanding environment
  • Exhibit a friendly, helpful and courteous manner when dealing with members and fellow employees. Physical, sensory and motor demands:
  • Able to move fast and multi-task in a fast-paced, high-stress / pressure environment
  • Frequent standing for extended periods of time.

Salary Range-95,000-110,000 plus commission and benefits package
